Hitrex: Hitrex SRL, established at Rue Long Pré 23, 4420 Grâce-Hollogne, Belgium, registered under VAT number BE 1038.662.439. Customer: The party with whom Hitrex has entered into an agreement. Parties: Hitrex and the Customer together. Traveller / Participant: Any natural or legal person who books or participates in a trip organized or sold by Hitrex.
These terms and conditions apply to all quotations, offers, activities, orders, agreements, and deliveries of services or products by or on behalf of Hitrex. By booking services or products with Hitrex, you confirm that you have taken prior knowledge of these conditions and accept them as an integral part of the contract. Deviations from these conditions are only valid if explicitly agreed in writing. The applicability of supplementary or deviating conditions of the customer or third parties is expressly excluded.
All prices used by Hitrex are in Euros, unless stated otherwise, and include VAT, but exclude other costs such as administrative fees, levies, penalties, or additional transport expenses unless explicitly stated otherwise. Hitrex reserves the right to adjust prices shown on its website, social platforms, or other media at any time. The agreed price is a target price unless a fixed price is explicitly agreed in writing. The price may include: transport of passengers and luggage, accommodation, meals and drinks as per the program, VAT, and administrative booking fees. The price does not include: passport, visa, vaccination, testing and other travel formalities, personal expenses, personal preferences, transport to/from the pickup/meeting point, entry fees unless stated otherwise, local tourist taxes, travel and cancellation insurance.
Day trips and weekend trips must be paid immediately. Hitrex reserves the right to require a down payment of 50% at the time of booking. Payment deadlines are strict and final. Non-payment results in automatic legal default without any prior reminder or notice being required. Hitrex may suspend its services or require financial security until full payment has been received. A booking becomes final only upon the effective receipt of the payment. After validation, no cancellation will be accepted without the application of contractually established penalties.
Any damage caused during the trip can be recovered from the customer upon presentation of proof. The recovery claim will be communicated in writing or electronically. Payment must be made immediately unless agreed otherwise.
Exclusion of the right of withdrawal: In accordance with Belgian legislation on travel contracts, the consumer does not benefit from a right of withdrawal (cooling-off period) after the validation of their booking for dated transport or accommodation services. Minimum number of participants: Trips may require a minimum number of participants. If this quota is not reached, the trip will be cancelled at least 14 days prior to departure. Physical Fitness: Customers confirm they are physically and mentally fit to participate in the hiking activities. Safety & Behavior: Hitrex may cancel bookings if safety risks are identified, or exclude any participant who exhibits dangerous or antisocial behavior. No-show: No refund will be issued in the event of a non-presentation at the departure.
Cancellation requests must be sent exclusively to info@hitrex.be: (a) More than 30 days before departure → Refund issued minus a €20 administration fee. (b) 14 to 30 days before departure → 50% refund. (c) Less than 14 days before departure → 25% refund. (d) On or after the departure date → No refund. If Hitrex cancels the trip, a full refund or a rebooking option will be offered. Eligible refunds are processed within a maximum timeframe of 14 days.
The liability of Hitrex is governed by the Belgian Travel Law of 21 November 2017. It is strictly limited to direct damages only and capped at the total coverage amount of its insurance policy. Hitrex disclaims all liability for accidents resulting from the consumption of alcohol, drugs, reckless behavior, or force majeure (extreme weather conditions, war, strikes, pandemics, natural disasters). Participation in activities is voluntary and entirely at the participant's own risk.
Complaints must be submitted in writing to info@hitrex.be within a maximum of 14 days after the end of the trip, with detailed descriptions and proof. Belgian law applies exclusively. In the event of a dispute, the courts of the judicial district where the registered head office of Hitrex SRL is established shall have exclusive jurisdiction.
Hitrex SRL acts as the data controller for your data. We collect information through our website and booking workflows: Navigation Data: IP address, cookies, and traffic logs (via standard web analytics tools to optimize website operations). Contact & Booking Information: First name, last name, email address, phone number, physical address, and billing data. Specific Safety Data (Hiking & Trekking): Emergency contact person details, and physical fitness or medical information provided voluntarily by the participant to ensure trail safety.
We process your personal data strictly for: — The execution of the travel contract (managing registrations, processing bookings, and guide logistics). — Compliance with Belgian statutory legal and accounting requirements. — Our legitimate interest in ensuring the structural and physical safety of participants on hiking expeditions. — Sending promotional newsletters or marketing campaigns, strictly subject to your explicit prior opt-in consent.
Your personal data is treated with strict confidentiality. It is only shared with third-party providers strictly necessary to execute the trip (contracted independent mountain guides, accommodation hosts, or transit companies). Your data is never sold or handed over to third parties for independent commercial marketing.
Financial transactions and invoicing logs are retained for 7 years to satisfy Belgian corporate accounting laws. Contact details and security questionnaires pertaining to a specific trip are erased or fully anonymized within 12 months following the completion of the activity, unless legal disputes necessitate longer storage.
Our website uses functional technical cookies required for the booking engine to operate properly, alongside analytical tracking elements. You can configure your browser to block cookies, though doing so might disrupt certain check-out functionalities on www.hitrex.be.
You hold complete data rights under European law: access, rectification, erasure ("the right to be forgotten"), processing restriction, and data portability. You can opt out of marketing distribution at any time. To exercise these rights, submit your request to info@hitrex.be. You also maintain the legal right to file an official grievance with the Belgian Data Protection Authority (GBA).
In accordance with Belgian regulations (Law of 21 November 2017), Hitrex SRL is insured against financial insolvency and for Professional Civil Liability with its FSMA-approved broker Travel-Safe.be.
